Office FAQs

As quickly as is needed! Moving into a UBC workspace is as easy as checking into a hotel. All our serviced offices are fully fitted with desks, chairs, drawer cabinets, telecoms and Internet access so all you have to do is plug in and start working.

No, at UBC we offer flexible licence agreements from one month to three years, giving you the freedom to choose how long you want to commit to, without being tied into a long-term office space deal.

All our office space solutions are very competitively priced offering even the smallest of businesses amazing value for money. Taking serviced office space at UBC couldn't be simpler; you pay one monthly invoice, which covers rent, rates, furniture, IT and telecoms provision - making it easy to budget your outgoings to allow you to concentrate on building your business

As your needs change, your local customer service manager will work with you to adapt your UBC office. We will present you with the options available in your chosen business centre, whether that's the need to increase/modify or decrease your office space.

No, there’s no need. All the office spaces we provide come complete with a range of modern office furniture, the latest in VoIP telephone handsets and high speed Internet access. We provide desks, ergonomically designed chairs, drawer pedestals and a range of storage options so you’re set up ready to work immediately. You can however bring in more furniture to create your own space as you choose.

All our centres have excellent transport links both locally within the UK and from abroad. With close proximity to the UK's motorway network, as well as rail and air links, all our office locations are easily accessible for clients and visitors.

A fully serviced office at UBC gives you your own private space with 24-7 access. UBC's Coworking is branded as hUBClub and gives you access to a desk in a workspace that is shared with other users during business hours only.

Virtual Office FAQs

A Virtual Office provides businesses with a professional business address, mail handling services, with the option of a local telephone number without the need for a physical office space. It helps create a professional image and offers flexibility for businesses of all sizes.

We offer three virtual office packages which vary in price depending on the level of support your business needs. Monthly fees start from £44.95 for our 'essentials' mailing address service; £99.95 for our 'Complete' service including call reception and forwarding service; and our best value 'Elite' services is £179.95 for the full service plus registered office address, coworking and meeting room use included.

Our Virtual Office packages include:

  • A professional business address at your chosen location

  • Mail handling services (forwarding, scanning, or collection)

  • Telephone answering services with a local telephone number

  • Access to coworking spaces and meeting rooms

  • Business support services

Yes, you can use the Virtual Office address as your registered office address. This service is an optional extra for our Essentials and Complete packages, and is included in our ‘Elite’ Virtual Office packages.

Yes, Virtual Office clients receive a 10% discount on meeting room hire, hot-desking, and coworking at any UBC location. Details of Special offers can also be seen on our website

Yes you can. As a virtual office client you will be able to use UBC business and concierge services, make free use of our Internet cafe and coffee breakout areas, as well as enjoy free refreshments and Wi-Fi access at locations where this is available. You'll be able to access discounted UBC meeting and conferencing facilities and daily workspace hire at all UBC locations.

You cannot use your UBC address as physical location on My Google Business Profile.

Google explicitly prohibits this for virtual office addresses.

No, you should not list your virtual office as a physical location that customers can visit, like a shop or office.

You can still have a Google Business Profile

Instead, you should indicate the areas you serve.

This approach allows you to showcase your local presence without needing a physical address for customer visits, ensuring compliance with Google’s guidelines.

The terms and conditions for our Virtual Office service include:

  • Contract Duration: The minimum term of the Licence Period is 3 months, and it will automatically renew unless terminated with a 1-month notice ending on the last day of the month.

  • Payment Terms: Monthly fees are payable in advance by Direct Debit. A £50 fee is charged for failed direct debits or late payments.

  • Cancellation Policy: Clients can cancel their Virtual Office service with a 1-month notice. Any fees paid in advance are non-refundable.

  • Mail Handling: Mail handling services include forwarding, scanning, or collection. Clients are responsible for additional postage costs and a 25% service charge for forwarding.

  • Telephone Answering: Telephone answering services include up to 100 inbound calls per month. Additional calls are charged at £1.00 per call.

  • Call Forwarding: Call forwarding includes 1000 call transfer minutes per month to local and national numbers. Transfers to mobiles, premium rate, or international numbers are charged at BT rates.

  • Deposit: A deposit equivalent to 2 months' rental is required before the service commences. It will be held by the Licensor and applied towards any outstanding fees or breaches of the licence.

  • GDPR Compliance: We comply with GDPR regulations and may appoint third-party suppliers for identity verification and debt collection. Information will be held securely and shared only as required by law.

You can subscribe to a Virtual Office at multiple UBC locations. UBC Virtual office members attract a 35% discount for each additional location. Ask your Centre Manager for details.

Setting up a Virtual Office with UBC is easy. Simply choose the package that best suits your business needs, and our team will assist you with the setup process. You can sign up online or contact us directly for more information.

Meeting Room FAQs

All of our business centres offer a range of meeting and conference room facilities suitable for meetings of between 2 and 12 delegates. Some of our centres can accomodate larger meetings. We also provide coffee breakout areas with Wi-Fi for your meeting guests and delegates to use throughout the day.

All of our meeting and conference rooms come fully equipped with telecoms, Internet access, flipcharts, conference pads and other stationery. Some locations have TV screens for you to enable you to present from your laptop . Audio visual equipment is available for hire for a small additional charge.

Yes we do. When you book one of our meeting rooms, your designated UBC meeting organiser will contact you to find out your exact catering requirements. We'll handle all the ordering and any special requirements, so you can concentrate on the business at hand. Tea and coffee also come as standard with all meeting room bookings.

Meeting rooms can be booked on a full day, half day or hourly basis, ensuring that you only pay for what you are going to use. For volume or regular meeting room bookings we are happy to also consider a discount.
